A clearer company accommodation request.

A stay is easier to evaluate when the request, complete offer, approval and servicing responsibility are visible from the beginning.

Browse all guidesPrepare your starting brief

Start with the actual requirement.

Specify location, dates, rooms, adults and any room-specific requirements. Establish the company purpose, traveller/requester role, approver, payer, invoice needs and the person responsible for servicing. Do not assume that the person searching is allowed to commit the company.

Compare the full stay.

Use identical dates, room count, occupancy and currency. Review the total mandatory cost, supplements, breakfast occupants, what is due now and what remains at the property. A lower nightly number can describe a different offer.

Read the policy before approving.

Keep the exact expiry, cancellation deadline and timezone, refundable and non-refundable amounts, payment recipient and any change restrictions with the selected offer. Changed dates, rooms or terms require another review.

Distinguish the decisions.

A prepared request is not company approval. Company approval is not payment verification. Payment is not a matching hotel confirmation. Keep an uncertain result on its original reference while it is checked.

Keep the stay easy to service.

Retain the original offer, hotel and payment references, accepted changes, cancellation and refund states. Link any support case to the stay and keep the owner, backup and next update visible. A repeat request starts with fresh availability and terms.
